In case of an accident, the renter has to pay the full excess as stipulated under the terms and conditions of the rental agreement. By choosing to pay a collision damage waiver, the excess amount payable is reduced as is indicated under the terms and conditions of the rental agreement.
Prior arrangements must be made with Melbic Car Rentals, as we have to give you a Letter of Authorization to take vehicles outside of Namibia. Extra cost may be charged if the vehicles are not returned to our office since it will not be available for rental until returned. It is the renter’s responsibility to return damaged vehicles outside Namibia to within the borders of Namibia.
We offer transport from and to the Airport free of charge as it is part of our services. You however need to supply us with your flight details. There will be a representative from our company at the airport to meet you and bring you to our office.
Your booking will be confirmed once a deposit has been paid and confirmed. A deposit of 30% is required beforehand. No cheques will be accepted. You will receive a booking reference number once your booking has been confirmed. The full rental amount, as quoted, must be paid in full upon commencement of the rental.

TERMS AND CONDITIONS
1. The LESSOR leases to the RENTER who hereby
hires the vehicle hereinafter specified for the period hereinafter specified.
2. This agreement will at all times be subject to the standard terms
and conditions of the rental agreement, of the LESSOR annexed hereto as
annexure A- which annexure forms an integral part of this agreement and which
will be initialled by the RENTER for the purpose of identification. 3. Speed Limits
The RENTER shall at all
times be bond to the following speed limits:
3.1 a maximum of 80km/h on any gravel road The C34 between Swakopmund and Hentiesbay is not a Tar
Road, but a Salt Road. This Road falls
under the Category of not Tarred Road, therefore only 80km per hour is allowed.
3.2 a maximum of 120km/h on all tarred public roads subject however to
the speed limits imposed by government or any local authority for any specific
stretch of road. By not adhering to the Speed Limit as set out by Melbic Car
Rentals, Tours and Transfers all Insurance cover will be deemed invalid.
3.3 Use of the 4x4 mode:
H4 (High range) 60km/h
L4 (Low range) 30km/h Switch to the four-wheel drives, H4 and L4, only when the
vehicle has come to a full stop and only when the clutch is pressed in! With
Automatic the car must be in neutral. It is not allowed to use the 4x4 mode (H4 or L4) on tar
roads or good gravel roads! The L4 is
only allowed for short-term use in areas with deep sand, steep inclines or

incorrectly/permanently, the Client will be liable for the full amount for any
RENTER shall not be entitled to drive:
4.1 long distance roads between 07:00 PM and 06:00 AM due
to the high risk of accidents caused by animals.
4.2 to Sandwich Harbour
4.3 along the Kunene River
4.4 from Epupa Falls east on road No. 3700 to road No. 3701
4.5 up Van Zyl’s pass
4.6 through salt water
4.7 on any beach where the water breaks
4.8 in any sandstorm
4.9 along riverbeds
4.10 on unregistered roads
5. The RENTER undertakes not to:
5.1 step on the roof or bonnet or any other painted
part of the vehicle
5.2 lean against any metal parts of the vehicle
5.3 leave the vehicle unguarded
5.4 leave the key in the ignition while not driving
5.5 drive long distances with 4x4 engaged
6 The RENTER undertakes to:
6.1 engage 4x4 timeously to prevent clutch and tyre
6.2 have the brakes cleaned after having been stuck
6.3 ensure that his passengers and guest comply
with clause 5 above
7 The RENTER agrees that any roof top tents or
camper, if mounted will be used at the sole and exclusive risk of the RENTER.
8. If the vehicle is scratched, the RENTER will
be liable for an additional polishing fee of N$1000.00 plus VAT.
9. The vehicle and equipment leased to the RENTER are indicated as
per attached quotation.
10. The vehicle type: TOYOTA D/C 4X4 Reg No.: N___________W

delivered to the RENTER and shall be returned by the RENTER
Should the vehicle not be returned on the agreed time,
the RENTER will be charged a daily rate.
11. If the RENTER is involved in an accident and a substitute
vehicle is required, the RENTER shall not be entitled to any refund in terms of
this rental agreement and the RENTER will have to enter into an entirely new
rental agreement for another vehicle. A new
rental agreement will not be concluded unless all outstanding amounts in terms
of this rental agreement have been paid in full.
12. Unless 48 hours prior notice have been given to
the effect that the vehicle shall be returned before the due date the RENTER
will not be entitled to any refund.
13. All breakdowns must be dealt with within 24
hours and the LESSOR shall be informed of the full extent and cost of the
repairs. 14. Collision
Damage Waiver (CDW) 14.1 The RENTER will remain liable for ALL DAMAGES to the vehicle not
covered by the CDW – for example but not limited to chipped tyres, deep
scratches, under body damage, etc.
14.2 The DRIVER will be liable to pay an excess of up to N$45,000.00
should the vehicle be damaged. This
amount will be reserved on the DRIVER’s credit card on the day of the
rental. The DRIVER may however choose to
pay zero excess in the case of damage to the vehicle by paying a collision
damage waiver (CDW) of N$350.00 per day.
This includes damage to the vehicle and cover for damage to the front
windscreen and two tyres. An additional
amount of N$4,500.00 will be reserved on the credit card on the day of the
rental for damages to the vehicle caused by negligence which is not
covered by the CDW, should no damages be reported upon inspection of the
vehicle during the return of the vehicle, this amount will be released. This
amount will be released after 3 working days from date of returning the
14.3 The CDW further excludes damages to the underbody or sandblast. In
the case of gross negligence, damages to the vehicle will not be covered by the
collision damage waiver.
14.4 The DRIVER needs to report any accident or damage to the vehicle to
the police and to Melbic Car Rentals Tours & Transfers within 24 hours
after the damaged occurs. If the DRIVER did not report as such, upon return of
the vehicle, the DRIVER will be informed what the estimated cost for damages
are and payment will be required immediately.
15. Should the RENTER fail to report any damages to
the vehicle of the lessor the RENTER shall immediately become liable for
payment of the damages as described in clause 14.2. 16. Tracking (Black Box)
Negligence for example
disregard of our in Contract established Speed limits (which may differ from
the generally accepted limits in Namibia) will lead to an immediate suspension
of the insurance cover. In case speeding
in accordance with our contractual rules the Client will receive a Notification
via E-mail from the GPS Tracker installed in the Vehicle. Notifications will be charged with N$10.00
per Notification received. By continued
defiance of the Set out Speed Limits an audible warning signal will be
activated in the Vehicle. By repeatedly
ignoring the Warning signal (max 3 Times) the Contract is breached, resulting
in the termination of the Insurance Cover.
Should the client temper with the
Tracking Device, a penalty fee of N$500.00 will be charged. It is recorded
that the vehicle is fitted with a Tracking device and that routes and vehicle
speed amongst other items are strictly monitored. 17. Drop Off the vehicle
On the day of return,
the Rental Agent will do a quick check.
The Company reserves the
right to only declare the Vehicle being in order after a full cleaning,
mechanical inspection of the vehicle, as well of complete inspection of the
camping gear has been completed. The renter will be notified via E-mail within 3 working
days after the vehicle has been returned. Up to such a point, Melbic Car
Rentals, Tours and Transfers has the right to access the credit card deposit or
blocked excess amount should damages be found.

10.1 The RENTER will remain liable for ALL DAMAGES to the vehicle not covered by the CDW – for example but not limited to chipped tyres, deep scratches, under body damage, etc.
10.2 The DRIVER will be liable to pay an excess of up to N$45,000.00 should the vehicle be damaged. This amount will be reserved on the DRIVER’s credit card on the day of the rental. The DRIVER may however choose to pay zero excess in the case of damage to the vehicle by paying a collision damage waiver (CDW) of N$350.00 per day. This includes damage to the vehicle and cover for damage to the front windscreen and two tyres. An additional amount of N$4,500.00 will be reserved on the credit card on the day of the rental for damages to the vehicle caused by gross negligence which is not covered by the CDW, should no damages be reported upon inspection of the vehicle during the return of the vehicle, this amount will release.
